Free printable meal train sign-up sheet
This free one-page meal train sign-up sheet lets friends write down the day they'll bring a meal, their name, phone number, and what they're making. The top box holds the drop-off address and time, how many people are eating, and allergies. Print it, pass it around, or post it at church or school.

What's on the sheet
Everything a helper needs before they cook, plus room for 14 meals:
- Who the meals are for and the drop-off address
- Drop-off time window and how many people are eating
- Allergies, foods to avoid, and family favorites
- Organizer name and phone number
- 14 rows for date, helper name, phone, and the meal they'll bring
How to use a paper meal train sign-up sheet
- Fill in the top box first. Ask the family about allergies, the best drop-off time, and how many people are eating before anyone signs up.
- Write in the dates. Every other day works well for the first two to four weeks, since meals usually leave leftovers.
- Pass it around. Circulate it at a church, PTA meeting, office, or team practice, or snap a photo and text it to a group chat.
- Text the family each week. Send them a photo of the filled-in sheet so they know who's coming and when.
When an online meal train is easier
Paper works for one room of people. If helpers are spread out, an online meal train saves the organizer from collecting sheets and sending reminders by hand. On iLunch, helpers claim days from a link, get automatic email reminders, and can send an Uber Eats gift card if they can't cook. It's free, with no ads and no accounts.
Common questions
Is this meal train sign-up sheet really free?
Yes. The PDF is free to download, print, and copy as many times as you like. No email address or account is required.
How many meals does the sheet hold?
Fourteen. For a longer meal train, print a second copy, or start a free online meal train on iLunch, which has no limit on days.
Can I fill it in on my computer?
It's designed to print and write on by hand. To collect sign-ups digitally, an online meal train is faster: you share one link and helpers claim days themselves.
What should I write in the allergies box?
List every allergy and strict avoidance (nuts, gluten, dairy, pork, and so on), plus anything the family simply dislikes, so helpers don't have to guess.
